Optimise the use of your meeting rooms with the Room Booking Displays from Add-On Products
The Add-On Products Digital Sign software integrates with all iOS, Android and Windows screens with Microsoft Exchange and Office 365.
When a meeting is booked in Outlook®, all information is automatically displayed on the meeting room screen in a fully customisable layout.
All bookings made on the screen itself also appear immediately in Outlook.
Applications
Book meeting rooms
All information regarding the meetings, booked from Microsoft Exchange or Office 365 is displayed on the meeting room displays from Add-On Products Also, the upcoming meetings in that room are listed.
If it turns out that a room is available, it can also be booked ad-hoc, directly on the touchscreen, for a duration of your choice. All meetings that are booked ad-hoc will also be displayed in the regular calendar to prevent double bookings.
End or extend meetings
Sometimes it is difficult to determine in advance how long a meeting will last.
If a meeting is finished sooner than expected, you can end it directly on the meeting room display to free up the room again. Both on the screen and in the online calendar, the room will then be shown as available again.
If it turns out that the meeting will run over and there are no upcoming meetings scheduled in the room, you can easily adjust the end time on the room display to extend the meeting.
Check-in
You can choose to use the check-in feature. By enabling this option, participants are required to confirm on the meeting room display a number of minutes before or after the meeting whether the meeting is actually taking place. The number of minutes can be determined during configuration.
If the meeting is not confirmed, the booking will be automatically cancelled and the room will be freed up again.
You can also opt to install sensors. This makes the check-in feature redundant as these smart sensors automatically detect attendance.
Additional features
Calendar overview & Wayfinding
With the Digital Sign software, you get an overview of all spaces and their locations at a glance.
On a floor plan, you can display all meeting rooms and workspaces, with their availability status shown using colour coding.
All reservations can also be displayed in a list on the screen.
You can use icons to indicate where the workspace or meeting room is located.
e-paper screen
The e-paper screens operate entirely on batteries and have a lifespan of up to 3 years. The 7" screens are designed with sustainability and ultra-low energy consumption in mind. The screens are easily readable in direct sunlight, offering high contrast and wide viewing angles, making them visible from any angle.
The screens can be easily installed without electrical wiring, network cables, or access to a Wi-Fi network, making them a very flexible and low-maintenance solution.
Templates
With the built-in template editor you can easily create unique layouts for the meeting room displays. You can upload a company logo, choose fonts and colours, and add images, fully aligned with your organisation's branding.
You can choose from included sample templates, but you can also upload and use your own designed templates.
Through the web-based dashboard, you can quickly update the layout of the screens.
Dashboard
With the web-based dashboard you can manage all screens remotely from one central location. The online dashboard is updated in real-time so you can immediately see which displays are online or offline.
In the dashboard, you will also find the template editor. with which you can upload templates to screens of your choice. You can see which content was uploaded to which screen and by whom.
In the online dashboard, you will also find statistics with insights about the usage of the displays. You can see how many meetings were extended or ended early, or how many no-shows there were.
RFID authentication
You can enhance security by requiring users to first identify themselves using an RFID card before they can confirm a meeting on the screen itself or schedule a new one.
If the meeting organiser does not check in, the room is automatically released for others. If you use screens with RFID readers, you can restrict the use of the rooms to authorised cardholders if necessary. This prevents people from altering bookings that do not belong to them or using meeting rooms without permission.
