Outlook Room Booking software & Room Booking displays at UZ Leuven
UZ Leuven was op zoek naar een centraal reservatiesysteem om op basis van bepaalde criteria (locatie, grootte, faciliteiten, …) lokalen te kunnen boeken en dit in combinatie met het bestellen van catering & andere diensten. De tool moest bovendien volledig geïntegreerd worden met Exchange zodat gebruikers vanuit Outlook meteen toegang krijgen tot deze extra mogelijkheden. IKANDA heeft hiervoor de oplossingen van Add-On Products aangeraden: Resource Central for booking meeting rooms and additional services, Digital Sign Service for displaying the bookings on screens at the meeting rooms.

Meeting Rooms Reservations
The Resource Central software allows you to easily search and book meeting rooms based on self-selected filters such as: country, building, size or capacity of the meeting rooms, available IT equipment, presence of an interactive screen, possibility of booking catering, videoconferencing tools available, etc…
When scheduling a meeting, you can also immediately check the availability of colleagues by day and hour. Moreover, meeting rooms can also be searched and booked via a floor plan.
Ordering catering and other services
UZ Leuven wanted to add simultaneous booking of a room, catering or other services from the same tool. This is perfectly possible with the Resouce Central add-on with which you can add an order form. Via this customizable order form you can, among other things, order catering, pass on the number of people if this differs from the number of people in the Outlook invitation, pass on a new table arrangement or arrange additional matters such as ordering wifi codes or parking spaces.
Service providers receive the order forms automatically and can get started immediately or can create reports by day or location to combine orders.

A large part of the meeting rooms in UZ Leuven received a Room Booking Display with the software of Add-on. All information concerning the meetings booked from Microsoft Exchange or Office 365 is displayed on these screens: who organized the meeting, how long the meeting lasts, which meeting will follow, .....
Meetings can also be booked, extended or cancelled directly on the screen.
80 meeting rooms in the hospital of Leuven received their own Room Booking Screen.
Layout & Features
Digital Sign Service has a built-in template editor where you can choose an existing layout but where you can also very easily create your own unique layouts. So the look of the screen can be completely customized to match the branding of the organization. You can also start choosing which functions you want to allow or what information you want to display. So you can decide whether you want to work with a check-in button or not; whether you show the next meetings, whether you show the subject of the meeting,...
